What you're doing in the recording — and why each step matters.

Step 01

Create a walk-in

If you're using a kiosk or tablet, pair your device in Settings → Kiosks — it's a one-time setup. Not using a kiosk? No problem. You can hand the patient a QR code or send them a URL link directly instead.

When a patient walks in for a vaccination, create a Walk-in directly from your calendar. This syncs instantly to the paired device — the prescreener is ready for the patient straight away.

Each QR code is generated for one patient and can't be reused. If the kiosk is busy, you can hand the QR code directly to the patient or send them a booking link instead.

Step 02

Patient completes the prescreener

The patient picks up the tablet and completes the prescreener — including digital consent.

Your team can monitor progress in real time from Light. When the prescreener turns green, it's complete.

Check-in is a good moment to reconfirm details with the patient — whether it's pharmacy staff at the counter or the immuniser before the consult.

Step 03

Record the encounter

The encounter overview screen gives the immuniser the opportunity to name-check and confirm the patient's date of birth before going into the consult.

Everything the patient entered in the prescreener is already pre-populated. No re-entry needed — you're confirming and recording, that's it.

The screen layout: the left panel is your guide and consult structure, the middle is your main workspace, and the right holds tools, notes, and files. Colour cues help you scan quickly — green means done, red needs attention.

Record all the relevant information as needed and save.

Step 04

AIR reporting — handled

Once the encounter is saved, Light reports it to the Australian Immunisation Register automatically. This requires AIR to be connected — a one-time setup.

You can see the submission status right from the encounter — no manual claiming required.

If a submission fails, it shows in red. Hover over it to see the reason. Fix the information, save, and Light resubmits automatically.

Step 05

Post-visit care

After the encounter, post-visit care goes out to the patient — an email with their vaccination summary, a link to the Consumer Medicines Information, and a patient experience form.

PREMs — Patient Reported Experience Measures. The experience form captures how the patient experienced their care — whether they felt informed, comfortable, and respected. PREMs support clinical governance, QCPP accreditation, and help demonstrate the quality of pharmacy-delivered clinical services.
Post-visit communications may vary depending on your pharmacy group's settings. Some groups manage their own communications and send them to patients separately.

Step 06

Made a mistake? Easy fix.

If you spot a mistake — a batch number, the administration site — open the encounter, make the correction, and save.

The update flows through to AIR automatically. No need to contact AIR directly.
